Independent by design. Principles in public.

FairlyRemote® is independent and self-funded. No outside investors setting the roadmap. Below: why we built it, the choices we’ve made, and who it’s for.

Why we exist

A fairness problem nobody owns.

Most distributed teams have a “fairness” problem nobody owns: the same teammate keeps getting the early call, the same office keeps flexing into evenings, the same person always covers the holiday rotation. Teams talk about rotating, promise to fix it, then open the spreadsheet and flinch, because flipping it inconveniences someone right now.

Spreadsheets don’t fix this. Slack reminders don’t fix it. Round-robin polls and booking links distribute the inconvenience randomly, which isn’t the same as fairly.

FairlyRemote’s answer is to make the off-hours cost visible and weight the next group decision against it. Every candidate time gets one label, Low / Modest / Neutral / Notable / High impact, from whether it falls in someone’s sleep hours or evening, who has taken early or late meetings lately, and when people like to meet. Same scheduling motion as before, with the imbalance pulled into view.

What we don’t do

Some decisions are about what to refuse.

How we run FairlyRemote today. The Terms and privacy policy are the documents that apply.

No AI training on customer data

We don’t use your calendars or team data to train AI models. Meeting times are ranked by a formula, not a machine-learning model.

No keystroke or activity monitoring

FairlyRemote looks at when meetings fall, not whether someone was “active”. It doesn’t track activity, keyboards or screens, and it gives no productivity score.

Your connected calendars stay yours

Connecting a calendar (Solo and above) stores the connection encrypted, and we use each event’s time and title to find conflicts. Disconnecting deletes the stored connection, and you can also remove access in your Google or Microsoft account settings. What we store →

No fake urgency or fake reviews

No countdown timers, invented testimonials or bought reviews.

No hard-to-find cancellation

You can cancel your plan from your account. How cancellation and refunds work is set out in the Terms.

You can take your data

A button in Settings downloads the data in your browser as a JSON file. To request a copy of other data we hold about you, email us.

If ownership changes

What happens if FairlyRemote is sold is set out in the Terms (§16) and the privacy policy.

How we operate

Independent, self-funded, and honest about the trade-off.

No outside investment and no sales quota steering the roadmap. The trade-off: support is by email during UK business hours, not around the clock. The Terms (§18) have the details.

Who it's for

Built for a specific job, honest about the rest.

A fit for
  • Ops and people leads at small and mid-sized remote-first teams who’ve watched the same teammate repeatedly draw the awkward-timezone slot.
  • Engineering managers running standups, retros, and recurring meetings across 3+ timezones where the same person keeps drawing the short straw.
  • Founders and chiefs of staff who want a clear answer the next time someone asks “is this actually fair?”
  • Consultants and freelancers who meet clients across timezones and want to offer times that are fair for both sides (the Solo plan).
Not the right tool for
  • A booking link and nothing else. If you never meet across timezones, a plain booking tool is simpler.
  • Co-located teams. No real fairness problem yet.
  • Large organisations needing round-the-clock support. We don’t offer it. For Enterprise, talk to us.
Scope & posture

What FairlyRemote does, and doesn’t, claim.

What the product is for, and what it isn’t.

It is an operational scheduling-coordination tool. For team and scheduling data, the customer organisation is the controller and FairlyRemote acts as its processor, as the privacy policy explains.
It is not a performance, productivity, or wellbeing measurement.Fairness figures describe how early and late meetings are spread across a team. They help with scheduling; they don’t measure any individual.
Outputs are advisory, not decisions. The ranking is a suggestion. People make the final scheduling choice.
Not appropriate for employment decisions.Fairness figures are not designed for performance reviews, promotion, pay, hiring or termination. The HR-format export carries this note in its file.
Not a wellness, medical, or clinical tool.Sleep hours are the hours people set themselves. FairlyRemote doesn’t read health data or device sensors, and it says nothing about anyone’s actual sleep, alertness or wellbeing.
Not an incident-response or paging tool.Business includes shift scheduling (Beta) for planning rotations. For paging people during an incident, use a dedicated incident tool.

The detail is in the Terms and privacy policy.
