Free works without an account

Without an account, your boards and history are kept in your browser. Usage statistics and crash reports can be turned off in Settings.

Math, not AI

Times are ranked by a formula, not a machine-learning model. Your team makes the final choice.

Events synced from your calendar show teammates that you’re busy, not what the event is.

What we store

Your data

On Free, your boards, members and fairness history stay in your browser. Signing in stores a rolling 14 days of fairness history on our servers. The app also sends usage statistics and crash reports, which you can turn off in Settings.

With an account, we store what is needed to run the features you use, for example:

From your calendar If you connect one

  • Times and titlesWe use each event’s time and title to find conflicts. Teammates don’t see the title unless you share the event.
  • Not keptEvent descriptions, locations and attendee lists from your calendar.
  • Who attendedWhen you mark who attended a meeting, we look up that event’s invitees to suggest teammates, without storing the list.

How times are ranked

A formula, not AI

FairlyRemote ranks meeting times with a formula, not a machine-learning model. The ranking is a suggestion; your team makes the final choice.

What it weighs

For each person, it weighs:

RestWhether a time falls in someone’s sleep hours. EveningsWhether it falls in their evening. Recent loadWho has taken early or late meetings lately. Preferred hoursWhen in their day they like to meet.

What it isn’t

It doesn’t track activity, keyboards or screens, and it gives no productivity score. It is not designed for performance reviews, pay or hiring decisions. See how a time gets picked →

Who sees your events

Busy Only by default

Synced events start as Busy Only: teammates see that the time is taken, not what it is. You can change an event’s setting within what your board allows, and board admins choose the default.

Admins choose a preset: Privacy First, Standard or Open Team. Privacy First keeps every event Private.

Private Only you see it Teammates see nothing.
Busy Only The default for synced events Teammates see “busy”.
Shared Visible to your board Teammates see the title.

What we ask your calendar for

Connecting a calendar (Solo and above) asks for these permissions.

Google Calendar & Tasks

calendar.readonly

See your free/busy times and event titles.

calendar.events

Add events you make through FairlyRemote, such as a confirmed meeting, an assigned shift or a booking, and change or remove only those.

tasks.readonly

Show your Google Tasks on your calendar. We don’t change them.

userinfo.email

See which account is connected.

Calendars.Read

See your free/busy times and event titles.

Calendars.ReadWrite

User.Read

We don’t ask for access to your contacts, inbox or files. Disconnecting deletes the stored connection, and you can also remove access in your Google or Microsoft account settings.

Security

How we protect your data

Encryption

We use encryption in transit and at rest.

Calendar connections

Connection tokens are encrypted separately from the rest of your data.

Access

The service is built so a team’s data is available to that team’s members.

Updates

We check the software we depend on for known security issues.

What we don’t claim

FairlyRemote is not SOC 2 or ISO 27001 certified, and it isn’t designed for health data (no HIPAA). A data processing agreement and answers to security questionnaires are available on request.

Leaving

Export, cancel or delete

Export

A button in Settings downloads the data in your browser as a JSON file. To request a copy of other data we hold about you, email us.

Cancel

Cancelling stops your plan renewing. How cancellation and refunds work, including consumer rights, is set out in our Terms.

Delete

You can delete your account from Settings. We then delete your personal data, apart from what the privacy policy says we keep. Groups you run pass to another admin or close.
